What can a Sup AI employee do?
Whatever you would hand a capable new hire who works by phone, email and computer. You ask the way you would ask a person: call or text their number and say it in your own words. Here is what owners ask for.
Your phones
They have a real phone number. Forward your line to it, or hand it out: every call is answered, day and night.
- “Help me forward my office line to you when it's busy or after hours.”
- “After hours, take a message and text it to me.”
- “Call our supplier and ask where the order is.”
Your customers
They call and text from their own number, many people at once, and write down how each one went.
- “Every weekday at 2 PM, call everyone booked for tomorrow and confirm.”
- “When a new lead emails you, call them within a minute.”
- “Call everyone who has not been in for six months and offer them a time.”
Your inbox
They have an email address of their own, and work in yours once you sign them in on their computer.
- “Go through my inbox each morning and text me what needs me.”
- “Answer the emails asking whether an order is ready, from what our system says.”
Your calendar and software
They sign in to the software you already use, on a computer of their own. Add their email as a user.
- “Once you have your own login to our scheduling system, tell me what tomorrow looks like.”
- “Move Thursday's appointments to Friday morning and let everyone know.”
- “Learn our scheduling system. I will add your email as a user.”
Your website and social accounts
They make the change or the post themselves, and show you the first one before it goes out.
- “The hours on our website are wrong. Fix them.”
- “Post this week's special on our Instagram. Show me the first one before it goes out.”
Your books
They work in your invoicing software and write from their own mailbox, politely and on a schedule.
- “Email everyone whose invoice is over 30 days late, politely, and tell me who pays.”
- “Every Friday, send me the unpaid invoices.”
Your own computer
You share your screen with them for one sitting, from a Google page. You end it whenever you like.
- “Something on my laptop needs fixing. Can you take a look at it with me?”
- “Install the software I need on my computer while I watch.”
Research and errands
They search, read, compare and call around, then text you the answer in a few lines.
- “Get three quotes for new gloves and tell me the cheapest.”
- “Find me flights to San Jose on the 30th and text me the best two.”
- “Keep an eye on our supplier's order page and text me the moment it says shipped.”
- “Every morning at 8, text me what is on for today.”
Working with them
- They call you on their first day to get to know you, then start the same hour.
- They ask for the way in they need: their email added as a user, or you sign them in on their computer.
- Never text a password. Spending money, and anything that cannot be undone, waits for your yes.
- Everything they do is on their page at sup.ai, and you can watch their screen or take it over.
One employee, or several?
Most businesses need one. One employee can be on several calls at once and work many things at the same time, so you never hire a second because the first is busy. Hire another when it is a different job, not a different task: a front desk and a bookkeeper answer to different people, work in different systems, and should be reached on different numbers. Or when one job is simply more phone time than one has, like hours on hold every day.
